Trinity Martial Arts & Self Defence: Safer Recruitment Policy

1. Policy Statement

Trinity Martial Arts & Self Defence is committed to ensuring the safety and wellbeing of all members, especially children, young people, and vulnerable adults. We follow UK safer recruitment practices in line with:

  • Working Together to Safeguard Children (2023)
  • Keeping Children Safe in Sport (NSPCC/CPSU)
  • Rehabilitation of Offenders Act 1974
  • Safeguarding Vulnerable Groups Act 2006
  • Data Protection Act 2018 & UK GDPR

2. Scope

This policy applies to all paid staff, volunteers, instructors, and anyone undertaking a role on behalf of Trinity Martial Arts & Self Defence.

3. Principles of Safer Recruitment

  • Clearly defined roles with safeguarding responsibilities
  • Verification of identity, qualifications, and background
  • Prevention of unsuitable individuals working with children
  • Commitment to equality, diversity, and inclusion

4. Recruitment Process

4.1. Role Definition

Each vacancy includes duties, safeguarding responsibilities, and DBS check requirements.

4.2. Advertising

“Trinity Martial Arts & Self Defence is committed to safeguarding and promoting the welfare of children. All roles are subject to safer recruitment checks, including references and enhanced DBS clearance.”

4.3. Application Process

  • Written application or CV with cover letter
  • Explanation of employment gaps
  • Criminal history declaration (per Rehabilitation of Offenders Act)

4.4. Interview and Assessment

At least one interviewer will be safer recruitment trained. Questions assess suitability and safeguarding awareness.

4.5. Reference Checks

Minimum two references, including one from a recent employer. References obtained prior to confirmation.

4.6. DBS Checks

  • Enhanced DBS with barred list for regulated activity roles
  • Renewal every 3 years or sooner if needed
  • Encouragement to join DBS Update Service

5. Induction & Training

  • Safeguarding induction
  • Mandatory safeguarding training within 3 months
  • Ongoing CPD relevant to role

6. Supervision and Review

Regular monitoring, reviews, and a probation period of 3–6 months apply to all new roles.

7. Code of Conduct

  • Maintain professional boundaries
  • No private one-on-one settings with children
  • Report all safeguarding concerns promptly

8. Allegations and Misconduct

Concerns or allegations will follow our Safeguarding Policy, with referrals made to Family Connect Telford, DBS, or police where applicable.

9. Confidentiality and Records

Recruitment records will be securely stored under UK GDPR. Information is only shared on a need-to-know basis.

10. Policy Review

This policy will be reviewed annually or upon changes to UK safeguarding guidance or legislation.
